How to choose field service software (without the enterprise sales pitch)

Running jobs from WhatsApp, a shared Google Calendar, and a spreadsheet works — until the second van shows up, a quote disappears in a chat thread, or you realize nobody knows which invoice was paid. Field service management (FSM) software exists to close that loop: schedule → job card → quote/invoice → payment → books.

Start with the job loop you already run

Before you open demos, write down your real day:

  1. How does a job arrive (phone, WhatsApp, web form, walk-in)?
  2. Who schedules it — and how do techs know where to go?
  3. What must live on the job card (photos, parts, forms, signatures)?
  4. How do you quote, invoice, and get paid?
  5. Where does money land in accounting?

If a tool cannot cover that loop without five workarounds, it will become another inbox. Prefer software that maps to jobs, not generic CRM pipelines designed for desk sales.

Match tool size to crew size (honestly)

  • Solo / 1–3 techs: You need mobile job cards, simple scheduling, and fast invoicing. Avoid platforms that require an implementation project and a dedicated admin.
  • 4–15 techs: Dispatch clarity, recurring jobs, and reporting matter more. Seat pricing vs job-volume pricing becomes a real cost question.
  • 15+ or multi-branch: Mid-market / enterprise platforms may fit — but expect longer onboarding and higher ACV. Do not buy “future enterprise” if you are still chasing unpaid invoices from last month.

Decide what “pricing” actually means

Test the mobile reality, not the marketing site

Most field work dies or thrives on the phone in the van.

  • Can a tech update status, add photos, and capture a signature offline or on weak signal?
  • Is the Android experience a full app, a lite client, or a browser tab?
  • Does quoting on site take under a few minutes?

Book a trial and run one real job end-to-end. Marketing screenshots are not a substitute. Platform caveats (for example, iOS-first products with a lighter Android client) belong in your decision notes — not buried after purchase.

Check integrations you actually use

Nice-to-have marketplaces look impressive; you need the two or three connections that close your books: accounting (Xero, QuickBooks, etc.), payments, maybe calendars or SMS. Confirm country support for payment processors. An integration that “exists” but is US-only does not help if you bill elsewhere.

Onboarding and switching cost

Ask:

  • Can you import customers and open jobs without a consultant?
  • How long until the first paid invoice goes out from the new system?
  • What happens to historical job photos and notes if you leave later?

Cheap software with painful migration is expensive. Expensive software you never fully adopt is also expensive.

A simple scoring sheet (use this)

Score each candidate 1–5:

  1. Fits our job loop
  2. Mobile usable on site
  3. Pricing model matches how we grow
  4. Integrations we need
  5. Time-to-first-invoice under two weeks

Add notes on support hours and language. Pick the highest score that your crew will actually open — not the longest feature list.

Industry nuance
